Refund policy
THE MIDNIGHT ASSEMBLY
Refund, Cancellation & Code of Conduct Policy
1. Introduction
The Midnight Assembly is built around curiosity, conversation and collaboration.
Our aim is to create a welcoming environment where people from every part of the paranormal field can meet, exchange ideas, challenge perspectives and enjoy a shared experience.
By purchasing a ticket and attending The Midnight Assembly, you agree to our Refund, Cancellation & Code of Conduct Policy, alongside our general ticket terms and conditions.
These policies apply to all ticket holders, attendees and guests, including those attending the Midnight Banquet and Midnight Gathering.
PART ONE: REFUND & CANCELLATION POLICY
2. Ticket Purchases
All tickets must be purchased in advance through our official ticketing platform.
Tickets are issued digitally and provide admission only to the dates, areas and experiences included within the purchased ticket package.
All attendees must be aged 18 or over.
3. Refund Eligibility
We understand that circumstances can change and that guests may occasionally be unable to attend.
Refunds are available for requests received within our specified cancellation period.
The final date for submitting a refund request is 13 March 2027.
This is 21 days before the first day of The Midnight Assembly.
Refund requests must be received no later than 11:59 pm UK time on 13 March 2027.
Requests received after this deadline will not normally be eligible for a refund, except where required by law.
This policy applies to all ticket categories, including Saturday Invitations, Sunday Invitations, General Weekend tickets and Founder's Invitations.
4. How to Request a Refund
To request a refund, please email:
hello@themidnightassembly.co.uk
Please include:
-
Your full name.
-
Your booking reference or order number.
-
The email address used when purchasing your ticket.
-
The reason for your cancellation.
Once your request has been reviewed and approved, your refund will be issued to the original payment method.
Approved refunds will be processed within 14 days of confirmation. The time taken for funds to appear in your account may depend on your bank or payment provider.
5. Refund Requests After the Deadline
After 13 March 2027, tickets are non-refundable for personal cancellations, including circumstances such as illness, changes in personal circumstances, travel difficulties or an inability to attend.
This also applies to guests who do not attend the event or who arrive after their intended programme sessions have finished.
We recommend considering appropriate travel or event insurance if you are concerned about unforeseen circumstances affecting your attendance.
This does not affect any statutory rights you may have.
6. Ticket Transfers
If you can no longer attend, a ticket transfer to another individual may be considered at the discretion of The Midnight Assembly.
All transfers must be requested and approved in advance.
Please email hello@themidnightassembly.co.uk with your booking details.
The proposed recipient must meet the event's eligibility requirements, including the minimum age of 18, and agree to the event's terms and Code of Conduct.
Tickets must not be privately transferred or resold without prior approval.
A ticket transfer will not be permitted where it is being used to circumvent a ban, disciplinary decision or breach of our Code of Conduct.
7. Event Cancellation
If The Midnight Assembly is cancelled by the organiser and does not take place, affected ticket holders will be entitled to a refund of the amount paid for the cancelled event admission, including applicable fees where required by law.
Where an alternative event date is available, ticket holders may be offered the option of retaining or transferring their booking to the rescheduled event.
Accepting a replacement date will be optional.
If only part of the event is cancelled, the appropriate refund arrangements for the affected portion will be communicated to impacted ticket holders.
Refunds will be returned to the original payment method wherever possible.
8. Event Postponement or Significant Changes
If The Midnight Assembly is postponed, ticket holders will be contacted using the details provided at the time of booking.
Guests will be offered the opportunity to attend the rescheduled event or request a refund where applicable.
We reserve the right to make reasonable adjustments to the event programme, including changes to speakers, panellists, session times, entertainment and the running order.
The withdrawal or replacement of an individual speaker or panellist does not automatically invalidate a ticket, provided the event remains substantially as advertised.
Where a material change significantly alters the experience purchased, affected guests will be informed of their available options and applicable refund rights.
Nothing in this policy limits statutory consumer rights.
9. Refusal of Admission or Removal for Misconduct
The Midnight Assembly reserves the right to refuse admission or remove an attendee whose behaviour breaches our Code of Conduct or presents a risk to other guests, contributors, staff or the venue.
Where a ticket holder is legitimately refused admission or removed because of a serious or repeated breach of the Code of Conduct, they will not normally be entitled to a refund.
Removal from the event also means that the individual may not return during the remainder of the event without express permission from the organiser.
The circumstances of any removal will be considered fairly and in accordance with applicable law.
10. Additional Expenses
The Midnight Assembly is not responsible for independently arranged travel, accommodation or other personal expenses incurred by attendees who are unable to attend.
If the event is cancelled or significantly changed, any further entitlement will be determined in accordance with applicable consumer law.
11. Changes to Speakers, Panellists, Vendors and Programme
The Midnight Assembly brings together a range of speakers, panellists, vendors, exhibitors and other contributors. While every effort will be made to deliver the advertised programme and line-up, appearances are subject to change due to circumstances outside our control.
The withdrawal, cancellation, substitution or change of any speaker, panellist, vendor, exhibitor, performer or other contributor, or any reasonable change to the event programme, timetable or activities, will not constitute cancellation of The Midnight Assembly and will not entitle ticket holders to a refund.
Tickets are purchased for The Midnight Assembly as an overall event and experience, rather than for the appearance of any particular individual, organisation, vendor or programme item.
Where changes are necessary, we will make reasonable efforts to provide suitable alternatives and communicate significant changes to attendees where practical.
Nothing in this policy affects any statutory rights you may have under UK consumer law.
PART TWO: CODE OF CONDUCT
12. Our Philosophy
Respect people. Challenge ideas.
The Midnight Assembly was created to bring together people with different perspectives on the paranormal.
Believers, sceptics, investigators, researchers, academics, historians, creators, debunkers, experiencers and curious newcomers are all welcome.
You do not have to agree with everyone.
You do not have to believe the same things.
You do not have to change your opinions.
We encourage thoughtful questions, open discussion, constructive criticism and respectful disagreement.
However, disagreement must never become an excuse for harassment, intimidation, personal hostility or deliberately disruptive behaviour.
Our expectation is straightforward: treat the people around you with respect, even when you strongly disagree with their ideas.
13. Expected Behaviour
All attendees are expected to:
-
Treat fellow guests, speakers, panellists, vendors, staff and venue personnel with respect.
-
Allow others to express their opinions without intimidation or deliberate interruption.
-
Challenge ideas and evidence rather than attack individuals.
-
Respect differences in belief, experience, background and personal circumstances.
-
Follow reasonable instructions issued by event staff, security and venue personnel.
-
Respect the venue, its facilities and other people's property.
-
Act responsibly during both the daytime programme and evening activities.
-
Help maintain an environment in which everyone feels comfortable participating.
The Assembly is intended to encourage genuine discussion rather than enforce agreement.
14. Unacceptable Behaviour
The following behaviours are not permitted:
-
Harassment, bullying or intimidation.
-
Personal attacks, threatening language or aggressive confrontation.
-
Discriminatory abuse or harassment.
-
Physical aggression, violence or threats of violence.
-
Unwanted sexual attention, sexual harassment or inappropriate physical contact.
-
Repeatedly interrupting, heckling or deliberately disrupting presentations and panel discussions.
-
Following, targeting or persistently confronting another attendee after they have indicated they wish to disengage.
-
Sharing another person's private information without permission, including doxxing.
-
Retaliation against anyone who raises a genuine concern or reports misconduct.
-
Intentional damage to venue property, displays, equipment or personal belongings.
-
Unauthorised commercial activity or selling outside approved exhibitor arrangements.
-
Refusal to comply with reasonable safety or security instructions.
The above is not an exhaustive list. Behaviour that compromises the safety, wellbeing or experience of other attendees may also be addressed by the event team.
15. Respectful Debate and Disagreement
The Midnight Assembly welcomes robust discussion.
Guests are free to question paranormal claims, challenge interpretations of evidence, discuss investigative methods and express different philosophical or personal perspectives.
Constructive disagreement is an essential part of the Assembly's purpose.
However, repeated personal attacks, hostile confrontation or attempts to dominate conversations at the expense of others will not be accepted.
If a discussion becomes unproductive, attendees may be asked to disengage or move away from the situation.
Respecting someone does not require agreeing with them.
16. Speakers, Panellists and Independent Opinions
The Midnight Assembly provides a platform for a diverse range of voices and perspectives.
The views, opinions, theories, interpretations and statements expressed by featured speakers, panellists, contributors and other guests are their own.
They do not necessarily represent the views, beliefs or official position of The Midnight Assembly, its founder, organisers or commercial partners.
The inclusion of an individual in the programme should not be interpreted as an endorsement of every opinion, claim or conclusion they express.
The Assembly encourages attendees to approach all presentations and discussions with curiosity, consideration and independent thought.
17. Behaviour During Talks and Panel Discussions
We ask attendees to respect the speakers and panellists who have generously given their time to participate.
During presentations, please avoid unnecessary interruptions, disruptive conversations and behaviour that affects the experience of others.
Audience questions should be directed through the event's designated Q&A arrangements.
When invited to ask a question, please raise your hand and wait for a member of the event team to approach with a microphone.
Questions should be relevant, constructive and respectful.
The event host and moderators reserve the right to manage questions, maintain the running order and intervene where necessary.
18. Photography, Videography and Social Media
Photography and the sharing of event experiences are encouraged.
Attendees may capture photographs and videos during general event activities and panel discussions, provided they do not disrupt proceedings or compromise the privacy of others.
Recording of featured speaker presentations is not permitted without express authorisation.
Please also respect the following:
-
Do not film or photograph another attendee in circumstances where they have reasonably requested privacy.
-
Do not record private conversations without the permission of those involved.
-
Do not obstruct walkways, presentations or other guests while filming.
-
Follow any additional recording restrictions announced by speakers or the event team.
-
Do not use photographs or footage to harass, threaten or deliberately target another person.
Official photographers and videographers will be present throughout the event.
Images and footage may be used in The Midnight Assembly's promotional materials, website and social media content.
Event photography notices will be displayed at the venue.
If you have concerns about appearing in official photographs or videos, please contact the team in advance or speak to event staff on arrival so reasonable arrangements can be discussed.
Further information about the handling of personal information is available in our Privacy Policy.
19. Online Behaviour Connected to the Event
The Midnight Assembly recognises that discussions may continue online before, during and after the event.
Attendees are welcome to share their experiences, express opinions and discuss the subjects raised throughout the weekend.
Constructive criticism and disagreement are permitted.
However, participation in the event does not provide permission to use our official social media channels or event-related discussions to harass, threaten, intimidate or deliberately target other attendees, contributors or staff.
Serious online misconduct connected to the event may be considered when making decisions about an individual's continued participation or attendance at future Assembly events.
This policy is not intended to prevent legitimate criticism, debate or freedom of expression.
20. Alcohol and Evening Conduct
The Midnight Gathering is intended to be an enjoyable social celebration, offering drinks, music, dancing and conversation.
Guests are expected to consume alcohol responsibly.
Excessive intoxication, aggressive behaviour, harassment or conduct that places others at risk will not be tolerated.
Event staff and security may refuse continued admission or remove guests where their behaviour presents a safety concern.
The same Code of Conduct applies during the daytime Assembly, Midnight Banquet, Founder's Bar and Midnight Gathering.
21. Accessibility and Inclusion
The Midnight Assembly is committed to providing a welcoming environment for guests with disabilities and additional accessibility requirements.
Complimentary companion tickets are available for guests who require assistance due to a disability or medical condition.
Supporting documentation, such as a PIP award letter, Blue Badge or similar evidence of eligibility, may be requested.
Companion tickets provide admission for the purpose of supporting the eligible guest. Food, banquet meals and additional experiences are not included and may incur separate charges.
Guests who require accessibility arrangements, companion admission, accessible seating or other reasonable adjustments should contact:
hello@themidnightassembly.co.uk
Assistance dogs are welcome. Pet dogs are not permitted.
All attendees are expected to respect the accessibility needs and personal circumstances of others.
22. Respect for Kelham Hall and Event Facilities
Kelham Hall is a historic venue, and we ask guests to treat the building and its surroundings with care.
Attendees must comply with venue rules and follow reasonable instructions from staff.
Access is restricted to designated event areas.
Guests must not enter private, restricted or unauthorised areas of the building.
Intentional damage, vandalism or interference with venue facilities and equipment may result in removal from the event.
Individuals may be held responsible for damage they cause, in accordance with applicable law.
23. Reporting Concerns
If you experience or witness behaviour that you believe breaches this Code of Conduct, please speak to a member of the event team or security.
You may also approach the event organiser directly.
Concerns can be submitted by email to:
hello@themidnightassembly.co.uk
Reports will be handled sensitively and with appropriate discretion.
We encourage guests to raise concerns early so they can be addressed before situations escalate.
Retaliation against anyone who makes a genuine report will not be tolerated.
24. Warnings and Disciplinary Procedure
Our aim is to resolve minor behavioural issues wherever reasonably possible, rather than unnecessarily exclude people from the event.
For less serious breaches, the following process will normally apply:
Stage One — Informal Reminder
A member of the event team may discreetly remind the individual of the expected standard of behaviour.
This may be sufficient to resolve a minor issue without further action.
Stage Two — Formal Verbal Warning
If the behaviour continues, the individual may be taken aside and issued a clear verbal warning by a member of the event team.
The warning will explain the concern and the expected change in behaviour.
Stage Three — Removal from the Event
If unacceptable behaviour continues after a formal warning, the individual may be asked to leave the event.
Their ticket and wristband may be invalidated, and they will not be permitted to return without the organiser's express approval.
No refund will normally be issued where removal results from a legitimate breach of this policy.
25. Immediate Removal for Serious Misconduct
The Midnight Assembly reserves the right to bypass the warning process where behaviour is sufficiently serious.
This includes, but is not limited to:
-
Violence or threats of violence.
-
Sexual harassment or assault.
-
Serious intimidation or aggressive confrontation.
-
Serious harassment or discriminatory abuse.
-
Behaviour that presents an immediate risk to others.
-
Deliberate or significant damage to property.
Where necessary, security personnel or the appropriate authorities may become involved.
26. Authority and Final Decisions
The founder and organiser of The Midnight Assembly retains final authority over disciplinary decisions, including removal from the event.
Event staff and security may take immediate action where necessary to protect attendees or respond to a safety concern.
Decisions will be made with consideration for the circumstances, the seriousness of the behaviour and the safety and experience of the wider event.
There is no formal internal appeal process for on-the-day disciplinary decisions.
This does not remove any statutory or other legal rights available to attendees.
27. Acceptance of This Policy
By purchasing a ticket and attending The Midnight Assembly, you acknowledge that you have read and agree to follow this Refund, Cancellation & Code of Conduct Policy.
All attendees are responsible for their own behaviour.
We ask everyone to help us create a space where different perspectives can come together, conversations can develop and people can enjoy the event without hostility or intimidation.
Not every question has an answer. Every conversation deserves respect.
